How to activate your microphone and camera

Microphone (On/Off)

At the bottom left-hand corner of the Zoom meeting toolbar, the microphone or headphone logo accompanied by the word "Mute" or "Join Audio" should be visible. Click "Mute" to disable microphone. Click "Unmute" to enable microphone.


Video (On/Off)

Camera (On/Off): Located to the right of microphone/Join Audio button. Click "Stop Video" to disable camera. Click "Start Video" to enable camera.

How to mute participants

1. Click on "Manage Participants." A sidebar will appear on the right with all the participants
2.  Hover over a participant's name to reveal "Mute" or "Rename."
3.  To mute everyone in the meeting, click "Mute all."
4.  Click "Manage Participants" again to hide the sidebar.

How to share your screen


  1. Click the green "Share" button in the middle of the Zoom toolbar.

  2. Select to mirror a desktop toolbar, whiteboard, or any other open application on your device that you would like to share.

  3. Click the "Share" button in the bottom right of the toolbar.

  4. To ensure students are not able to spontaneously share their screen, click the up arrow next to the green “Share Screen” button, and set the “Who can share?” permission to “Host-only”.


How to share files

  1. From the meeting toolbar, click "Chat."

  2. Click "More."

  3. Click "Share file in meeting."

  4. Select file you want to share in your meeting and click "open



How to send a chat message

  1. Click the "Chat" button at the bottom of your Zoom meeting toolbar.

  2. Type message.

  3. Click the Enter/Return button on your keyboard to send a message.

It is recommended to allow participants to chat with “Everyone publicly” or higher security settings. This will ensure students are not having private message conversations through your room. DO NOT use the “Everyone Publicly and Privately” option.
You can change the settings for chat by clicking on “chat” in the Zoom tools, then the “More” button in the bottom right.

How to Record

  1. In the meeting toolbar, click "Record."

  2. When prompted, click "Record on this Computer"  or "Record to Cloud".

  3. Once you are ready to stop your recording, click the "stop" button located on your meeting toolbar or the top left of your screen. 


  4. Depending upon the recording strategy (Record to Computer vs. Record to Cloud):

    • Record to Computer: The recording will automatically convert into an mp4 file when you leave or end the meeting (a file folder will pop up with the files). It will contain the video file and an audio file of the recorded meeting. You can now move that mp4 file to your  Google Drive or choose to keep it on your local device.

    • Record to Cloud: Once the video has been processed, the recording will be available for sharing via a link. The recording will also include transcription and closed-captioning.


How to end a meeting

  1. Click "End Meeting" in the bottom, right corner.


  2. Select either:

  • Leave meeting (if you are the host, it will be ending the meeting for all).

  • End Meeting for all (closes meeting for all participants).

Options while scheduling a meeting:

Aside from the basic scheduling options, there are a number of “Advanced Options” available while scheduling a meeting that gives control over the meeting as it begins. Click “Advanced Options” in the scheduling screen of the Desktop App to show the following options:


Extra tips and features:


  • The host can enable the Waiting Room feature. It’s a virtual staging area that prevents students/participants from joining a meeting/class until the host is ready. Meeting hosts can customize the Waiting Room settings to gain further control over which students/ participants join a specific class/meeting and when. To learn more click here.


  • Inform students that the meeting is being recorded and that their interactions in both chat and the live video feed are monitored.

  • Please be sure not to post recordings publicly.


  • Hover over a participant’s name and click “More” to toggle individual options. You can remove disruptive users from a call entirely, and they will not be able to join the meeting again until a new session is created.


  • Take attendance at the beginning of the session, and once all students have arrived, lock the meeting so other users cannot interrupt.


  • For attendance purposes, please watch this video.

  • Do not share a link to a teleconference or classroom on an unrestricted publicly available social media post. Provide the link directly to specific students/participants.

  • Ensure users are using the updated version of remote access/meeting applications.
